FROM FIRST LOGIN TO FIRST REPAIR

Get the shop ready.
Prove it at the counter.

A practical setup guide for your team, records and customer communication. Start with test records, then use a measured shop pilot to verify the work that matters.

ONE CUSTOMER. A CONNECTED HISTORY.

Step 1

Choose your trade and location

Start a 14-day Growth trial with no card. Choose your primary industry, add specialties and enable mail-in work if you need it. Set the shop address, timezone, tax settings, intake terms and quality checks.

Step 2

Give staff individual access

Invite each teammate with a role and assigned locations. Verify a technician can see the right counter and that financial exports stay with authorized staff. Keep owner access separate from shared counter devices.

Step 3

Bring in customers and opening stock

In Data & imports, choose your source system, upload up to 500 CSV rows and review the suggested columns. Confirm dollars versus cents and opening stock value. Save the import receipt and reconcile created and skipped counts. Imports do not grant messaging consent.

Step 4

Connect your own senders

Connect an email provider and verify its sending domain. Connect the SMS sender for each location, complete the required provider registration and check inbound callbacks. Use an owner-controlled, opted-in recipient for acceptance. Review drafts before sending.

Step 5

Run the counter from intake to refund

Use clearly labeled test records first. Check serials, condition, estimate approval, parts, QC, deposit, split payment, receipt, pickup, warranty and refund. Test the real scanner and receipt printer, plus your phone and tablet.

Step 6

Close each day and record evidence

Compare the drawer, processor settlement, deposits and refunds with the accounting event CSV. Use Shop setup & launch to record each acceptance result and blocker. Run a 7–14 day shop pilot before expanding to additional shops.

Clear permission. Clear costs.

Keep repair updates separate from promotional messages. Record the customer’s permission for the chosen channel, honor opt-outs and review failed or uncertain delivery before another attempt. Each shop uses the sender connected to its location.

Optional SMS, AI and storage services can have separate charges. Your plan and the enabled provider configuration determine what is available. Review the amount and allowance shown in Billing or Connections before purchasing.

Review plans and add-ons

Before you open the doors.

Will my trial charge me automatically?

Starting the trial requires no card. To continue automatically, an authorized owner must choose a plan and complete Stripe Checkout with a payment method. Stripe shows the billing date and amount. Without a paid subscription, the shop becomes read-only when the trial ends.

Is texting included in the subscription?

SMS is a separate service. With your own Twilio account, Twilio bills your provider usage and number or registration fees. RepairHQ-managed credits require an enabled, approved sender and a separate purchase. Review the displayed pack, segment allowance and recurring fees before checkout; availability depends on provider registration.

Why can one text use more than one credit?

Texts are billed by SMS segment, not by conversation. Longer messages, emoji and some characters can require multiple segments. The composer estimates the segment count before review. Provider-confirmed usage determines the final credit amount.

Can you import my entire previous system?

Guided CSV imports currently cover customer contacts and opening inventory. Repair history, unpaid balances, attachments, consents and supplier history require a separate reviewed migration. Start with a representative export and reconcile it before moving your full shop.

Does the accounting CSV sync QuickBooks?

The dated event CSV records collections and refunds, including deposits and gift funding. Balance applications are identified so they do not add money a second time. It is a reconciliation export; a native QuickBooks sync is not currently included.

What usage information helps improve RepairHQ?

RepairHQ uses PostHog to measure completed shop setup, repair creation, invoice issuance, and verified paid subscription activation. Shops are represented by coded identifiers. Error reports contain categories such as network or rendering failure. These events exclude customer names, contact details, device identifiers, repair notes, invoice contents, passwords, and API keys. This integration does not record browser sessions or form entries. Contact admin@repairhq.io with questions.

How do I get help?

Contact admin@repairhq.io with your shop name, RepairHQ Key, the time of the issue and its support reference. Do not include passwords, API keys, device passcodes or customer payment details. Support hours and response commitments are confirmed during pilot onboarding.

Your next step is inside the shop.

Open Shop setup & launch in your workspace to check connections and record your pilot evidence.

About this AI guide & voice

AI answers can make mistakes. Messages are processed by OpenAI, or a configured Gemini or xAI Grok backup if a provider is unavailable. Voice clips you choose to record are processed only by OpenAI. Voice becomes an editable draft before you send your question. RepairHQ does not save this chat or recordings to its database; refreshing clears the page’s conversation. The processing provider’s retention policies may apply. Please leave out passwords, payment details and customer records. This guide cannot access or change your shop.

Typing works without microphone access. The microphone runs only while you record. Questions and recordings have usage limits.
