Five questions your repair shop software should answer before lunch

A daily operating review should lead to the next action—not another hunt through spreadsheets, texts and disconnected systems.

Growing a repair shop creates more activity, but activity is not the same as control. When the owner has to ask three people, check two spreadsheets and search yesterday’s messages to understand the day, the real problem is not a lack of effort. The operating record is scattered. Before switching software, test whether it can answer the questions that lead to useful action.

1. Which repairs are waiting—and what happens next?

A list of open tickets is only the beginning. The useful answer identifies the current stage, assigned technician, approved work and next action. RepairHQ keeps intake details, estimates, customer decisions, assignments and work notes with the repair. During a trial, create one job that is waiting for approval, one waiting for a part and one ready for pickup. Ask an employee who did not create them to explain the next step. If the record cannot support that handoff, the workflow still depends on memory.

2. What did the shop invoice, and what did it actually collect?

Invoice sales and cash collections describe different events. A repair invoiced today may be paid later, while today’s deposit may include an older balance. RepairHQ reporting distinguishes sales, collections, adjustments and outstanding invoices, then lets authorized users explore the underlying invoice and item detail. That makes a daily review more useful than a single total. Imported provider history is kept separate from native invoices and payments so archived records are not presented as new activity. Accounting reconciliation exports are available, but native accounting synchronization is not included.

3. Which part is blocking the next completed job?

The question is not simply whether a part appears in a catalog. You need to know whether it is physically on hand at the correct location, reserved for another repair or still outstanding on a supplier order. RepairHQ tracks stock by location, repair reservations, purchase orders and partial receiving. Test the workflow with one common component and one special-order item. The result should show the counter what can be promised and give the bench a clear signal when the needed part arrives. Demand-based suggestions depend on the history your shop has actually recorded.

4. Which customer needs an answer today?

Customer communication works best when it starts with the repair record. RepairHQ connects customer details, prior repairs, estimates, invoices and eligible portal information so an authorized employee can answer with context. Configured email or SMS can support the workflow, but sender accounts, permissions, consent and delivery settings still matter; provider charges or messaging add-ons may be separate. During evaluation, test an estimate approval, a delay caused by a part and a ready-for-pickup update. Read each message from the customer’s point of view and confirm that it explains the next step.

5. Are the team records ready for a manager’s review?

RepairHQ supports role and location assignments, technician responsibility, PIN clock access, breaks, recorded hours and audited corrections. Managers can review time records and payroll summaries before using them in the shop’s payroll process. RepairHQ does not run payroll or file payroll taxes. The practical test is whether a manager can identify missing or corrected time, understand who worked at each location and review the record without rebuilding the week from paper notes. Hands-on repair time should also remain distinct from the total time a job spends in the shop.

Run a thirty-minute operating test before you switch

Use a sample day instead of a polished feature tour. Add three repairs in different stages, reserve a part, create an invoice, record a payment and clock a sample shift. Then ask the five questions above. Follow each summary back to the supporting record and check the permissions with an owner, a manager and a location-scoped employee. RepairHQ’s 14-day Growth trial gives a shop room to test that connected workflow before making a cutover decision. Plan data migration, payment-provider setup and physical hardware separately; a successful software trial does not automatically configure those services.

  • Can the team identify the owner and next action for every sample repair?
  • Can the manager explain the difference between invoices, collections and unpaid balances?
  • Can the counter see which parts are available, reserved or still on order?
  • Can an authorized employee answer a customer without searching a separate message thread?
  • Can a manager review time records without reconstructing the week by hand?

About this AI guide & voice

AI answers can make mistakes. Messages are processed by OpenAI, or a configured Gemini or xAI Grok backup if a provider is unavailable. Voice clips you choose to record are processed only by OpenAI. Voice becomes an editable draft before you send your question. RepairHQ does not save this chat or recordings to its database; refreshing clears the page’s conversation. The processing provider’s retention policies may apply. Please leave out passwords, payment details and customer records. This guide cannot access or change your shop.
