Plan a customer follow-up

Keep the next action, staff member and due date clear.

Review the next action

  1. Open the customer’s profile and read the relevant repair, invoice or warranty history.
  2. Record the reason for the follow-up and the intended next action using the available task or note controls.
  3. Assign responsibility and a due date where the workflow supports them.
  4. Before sending anything, check the customer’s channel permission and review the message content.

A report is not an outreach campaign

Customer Explorer can identify inactive customers, open balances or pickup work. Viewing or exporting those results does not send or schedule messages.

Service updates and promotional messages need their own recorded permissions. Do not treat a previous repair or a customer’s presence in an import as permission for marketing.

About this AI guide & voice

AI answers can make mistakes. Messages are processed by OpenAI, or a configured Gemini or xAI Grok backup if a provider is unavailable. Voice clips you choose to record are processed only by OpenAI. Voice becomes an editable draft before you send your question. RepairHQ does not save this chat or recordings to its database; refreshing clears the page’s conversation. The processing provider’s retention policies may apply. Please leave out passwords, payment details and customer records. This guide cannot access or change your shop.

Typing works without microphone access. The microphone runs only while you record. Questions and recordings have usage limits.
