Customers & estimates

Prepare an estimate and record approval

Agree on the scope before turning it into repair work.

Prepare a clear estimate

  1. Open Customers → Estimates and select the correct customer and store.
  2. Describe the proposed repair and review each part, service, quantity and price.
  3. Use the estimate’s approval-sharing action when available and review its approval state.
  4. When ready, convert the estimate through the repair intake workflow and verify the resulting item details and charges.

Approval and payment are separate

An accepted estimate describes the agreed work. It does not prove that a deposit or final invoice has been paid. Check payment records separately.

If the diagnosis changes the scope, update the customer’s agreement through the available review and authorization workflow rather than assuming the original approval covers the new work.

About this AI guide & voice

AI answers can make mistakes. Messages are processed by OpenAI, or a configured Gemini or xAI Grok backup if a provider is unavailable. Voice clips you choose to record are processed only by OpenAI. Voice becomes an editable draft before you send your question. RepairHQ does not save this chat or recordings to its database; refreshing clears the page’s conversation. The processing provider’s retention policies may apply. Please leave out passwords, payment details and customer records. This guide cannot access or change your shop.

Typing works without microphone access. The microphone runs only while you record. Questions and recordings have usage limits.
