CONNECTED TO THE WAY YOU WORK

Every detail has a place.

A callback queue for each shop

Review caller numbers, original call times, unread counts and callback status. Filter by location so the right team knows which calls need attention.

Customer context before you call

RepairHQ matches a caller’s number to a unique customer at the receiving location and shows their open repairs. Shared, withheld and unmatched numbers stay clearly identified for review.

Call history on the repair

Choose Add call to ticket to save the original call as an internal repair note. Later callback outcomes append to that repair, keeping your team’s follow-up history together.

Room for the next sale

An unfamiliar number can be the start of a new customer relationship. Return the call and record the inquiry, estimate discussion or next step in the callback outcome.

Another phone service on Zapier?

Your provider needs to expose missed calls with the caller, receiving number and original call time. That connection must be mapped and tested for your shop before use.

Nextiva is the currently verified phone connection. A provider’s presence on Zapier alone does not establish compatibility with this workflow.

Nextiva and Zapier accounts are configured separately. Provider fees and plan limits may apply. Nextiva’s missed-call trigger uses polling, so sync timing varies. See the supported Nextiva triggers.

BEFORE YOU START

Know what’s included.

Will our Nextiva desk phones still ring?

Yes. This connection records missed-call events while Nextiva continues to handle your phones and routing. Setup does not require replacing your existing Nextiva desk phones.

Does every call attach to a ticket automatically?

Caller matching is automatic when the phone number identifies one customer at the receiving location. Your team chooses the relevant repair and selects Add call to ticket. Once attached, subsequent callback outcomes save to that repair’s internal notes.

What if the caller has several repairs or shares a phone number?

Choose the repair the conversation is about when a matched customer has multiple open jobs. Shared numbers without a unique customer match, unknown callers and withheld numbers remain unlinked for staff review.

Can we use a different phone service connected to Zapier?

Nextiva is the currently verified phone connection. Other providers need a usable missed-call event, caller and receiving numbers, and the original call time. Their mapping and call coverage must be reviewed and tested before they can be used with this workflow.

How quickly do missed calls appear?

The connection records completed missed calls after syncing. Nextiva’s Zapier trigger uses polling, so delays depend on your Zapier plan and the provider’s event availability. Live ringing screen-pop functionality requires a separate integration.

Can it help with sales inquiries and follow-ups?

Yes. Keep an unmatched caller’s number and call time in the callback queue. Your team can return the call and record what the caller needs, including a repair estimate or sales inquiry.

What setup and costs should we expect?

Configure a connection for each location and connect the correct Nextiva voice user in Zapier. Verify a missed call for each receiving number before going live. Nextiva and Zapier accounts, plan limits and any provider charges are separate from RepairHQ.

About this AI guide & voice

AI answers can make mistakes. Messages are processed by OpenAI, or a configured Gemini or xAI Grok backup if a provider is unavailable. Voice clips you choose to record are processed only by OpenAI. Voice becomes an editable draft before you send your question. RepairHQ does not save this chat or recordings to its database; refreshing clears the page’s conversation. The processing provider’s retention policies may apply. Please leave out passwords, payment details and customer records. This guide cannot access or change your shop.

Typing works without microphone access. The microphone runs only while you record. Questions and recordings have usage limits.
